SOUTHAMPTON GARDEN CLUB MINUTES

.

Meeting called to order-- President Joanne King
Joanne thanked hostess Kay Martin and co-hostesses Ellena Dickerson, Tonya Judah, and Janet Kohlhase and announced that our next meeting will be on October 5, 2017 - 9:15 am at the home of Adrienne Stokes, 1921 Bolsover, with co-hostesses: Susan Bishop, Patricia Sommer, and Lorene Williams.  The 2017-18 theme is “Friendships Bloom Where Gardens Grow”.

Board Meeting Report: Joanne summarized the discussion of a budget at the Board meeting yesterday.  The board agreed to implement a budget on a trial basis this year.  Joanne will send out the “Budget Suggestions spreadsheet” to our committee chairs as a guideline to follow.
Adrienne and a committee of Sherrie Glass, Chairman, Susan Broer and Cyril Hosley created the budget document by looking at expenditures over the last three years. Should we decide to adhere to a formal budget the necessary changes will be made to the club by-laws. The board also decided to go forward with a three ring binder format for next year’s yearbook; thank you to Joanne Storm for agreeing in advance to chair the yearbook next year.

Harvey Donation: Joanne reported that the board suggested that Southampton Garden Club participate in the hurricane Harvey relief project.  Carolynne White further explained that our donations are limited by our by-laws to organizations that relate to gardening, the protection of native trees, plants and birds, environmental awareness and civic planning. Carolynne White moved that Southampton Garden Club accept donations from members that will be pooled and then be sent as a donations, half to Mercer Botanical Gardens and the other half to the Houston Arboretum.  Connie McMacken seconded the motion and the members approved it.  Donations will be accepted through the October meeting. Southampton Garden Club is a 501-C organization so donations are tax-deductible.  The treasurer can provide receipts for tax purposes.
